Associate Director of Admissions Operations

Job Description

The Associate Director of Admissions Operations reports directly to the Director of Admissions in all matters related to admissions operations, data analytics, and software/data information systems. The Associate Director of Admissions Operations works collaboratively with the Admissions team, Director of Financial Aid, Registrar, and Bursar along with the Graduate School and Center of International Education.

The Associate Director of Operations oversees institutional admissions processes and systems for undergraduate, graduate, international, and extended campuses. This position will lead their team to address internal and external customer relations with regards to admissions operations. The Associate Director of Admissions Operations has direct supervisory responsibilities of an Assistant Director of CRM, two processing leads, and one data integrity specialist. This position also has direct contact with program faculty, the Center for International Education, the Office of Extended Campus, and Graduate School.

The Associate Director of Admissions Operations is responsible for the development and administration related to admission processes, accurate data reporting , and supporting CRM communication needs in collaboration with University Advancement and Recruitment. This person should have an understanding of admissions and higher education policy at the institution, state, and federal level.

Leadership and Supervision (Essential 50%): Lead and supervise eleven full-time employees in the areas of application processing, CRM communications, and data analytics. Provide guidance, training, and direction to admissions staff to create an inclusive admissions environment for all staff and prospective students.

Administrator for Admission Information Systems (Essential 15%): Coordinate and manage CRM system documentation, upgrades, testing, and troubleshooting, including maintaining membership in professional associations and listservs to build industry/community support resources. Coordinate with Information Management and Technology to support comprehensive enrollment management data analysis needs and effective and timely communication.

Application and Processing Unit (Essential 20%): Oversee application processing to ensure accuracy and efficiency in all undergraduate, graduate, and international admissions processing. Maintain overall efficiency and functionality in operations to ensure business practices align with institutional enrollment goals and is within institution, state and federal policies.

Department and Division Leadership (Essential 10%): Work as part of the Admission and Enrollment Management

team to provide vision, leadership and support for the department and division. This includes developing strategies to continually grow and develop areas of recruitment, communications and processing, and data analytics to support goals.

Data and Analytics (Essential 5%): Responsible for gathering and providing accurate prospect and admissions data to support recruitment, orientation and enrollment, efforts as requested/directed by various division and campus units. Partner with new Enrollment Management Data Analyst role to secure and analyze data.

Based in Colorado, this counselor is responsible for representing the University of Oregon (UO) to multiple constituencies, including prospective students, their families, and school/community contacts. Residing in the region, the counselor develops and implements recruiting initiatives and follow-up to meet application and enrollment goals, as well as conducting holistic review of freshman applications. The counselor manages the planning and follow-up of recruitment activities including high school visits, area receptions, and individual meetings. Additionally, this position is a front-line service provider with primary responsibility for student admission counseling, recruitment travel, and management of the assigned geographic areas. The position requires a significant level of independent judgment and autonomy in regards to work planning; local representation of the university to thousands of students, families, counselors, and other key staff at secondary schools and community colleges; expert counseling of students and families; and application of university admission policy through holistic admission review. Secondary responsibilities include scholarship reviews and other duties as assigned. This position reports to the Senior Assistant Director for Regional Recruitment.
